Before subscribing to their paid plans, I’ve taken both Notion and ClickUp’s free plans for a spin. And here is what I realized…

Notion’s free plan can be a true lifesaver for startups on tight budgets or individuals who need a robust platform for their needs. It lets you invite up to five guests to collaborate on any page, offers various integrations, and has seven-day page history. However, the free plan lacks unlimited blocks for teams, so you’ll need to ensure every block counts.

On the other hand, ClickUp’s free version isn’t far behind. It grants you unlimited tasks, users, and two-factor authentication for security. You get 100MB of storage, kanban boards, whiteboards, and real-time chat to enhance your project management experience. You can even record videos in-app, a feature I personally find quite helpful.

I enjoyed those free versions. But here’s the catch, these free versions are generally more suited for solo users and small teams. For a more extensive and dynamic business setup, you’d want to leverage the full potential of Notion or ClickUp, which comes alive in their paid versions. That’s why I decided to switch to paid plans upon realizing that my agency would benefit if the whole team started using these productivity platforms. 

So, if you want to truly benefit from Notion or ClickUP, I highly recommend considering their subscription plans. Both platforms offer good deals, but I’ll describe those later. For now, let’s stick to analyzing features so that you can form an unbiased opinion about which tool is a better option for your business. And remember that you don’t have to stick with one platform strictly. You can combine them too.

Notion Is More Customizable, and ClickUp Is Easier To Set Up

No two businesses are the same, and this extends to their choice of project management tools. Some users enjoy the thrill of creating their workspace from scratch, while others prefer a more streamlined setup process. Let’s dig into this by comparing Notion and ClickUp.

Notion is highly customizable. I’m sure you’ve heard the saying “blank canvas.” That’s precisely what Notion offers. Everything in Notion is a page, and the building process starts from there. Whether setting up a new database or adding custom properties, you’ll do it all manually. This learning curve can seem intimidating initially, but trust me, it’s worth it, especially if you desire complete control over your workflows. Plus, you’ve got the backup of thousands of Notion templates and a massive knowledge base to guide you through it all. On the flip side, ClickUp takes a more user-friendly approach to setup. When you create a task, ClickUp automatically organizes it into your chosen task lists with different views and property fields. This software option saves time and reduces the initial overwhelm, especially if you’re not the most tech-savvy. But here’s the thing, ClickUp’s clean-looking dashboard hides many of its features, which can sometimes make finding specific functionalities a bit challenging. So, what’s the ideal choice? If you want high control over your workflows and don’t mind the extra legwork, choose Notion. However, if you’d prefer a tool that handles the setup process while you focus on your tasks, ClickUp might be a better fit.

My advice? The setting up is a one-time task. The customization or setup options you choose will lay the groundwork for your future workflows. But don’t base your decision purely on how easy it is to get started with a platform. Both Notion and ClickUp are actually easy to get started with once you understand the basics.

Notion Wins In Aesthetics

The charm of Notion lies in its visually appealing user interface – filled with customizable cover images, an array of emojis, and its clean, crisp user interface. It’s almost like being handed a blank canvas, with endless possibilities to make it as eye-catching or professional as you prefer.

Aesthetics might seem like an unimportant detail when we’re discussing productivity tools. But I believe it’s more important than one might assume. After all, who doesn’t love to have a beautiful interface on the tool they’re using every day?

Visually pleasing interfaces help you navigate more easily. They contribute significantly to a more seamless user experience. And it can increase productivity. With Notion’s distinctive emojis and cover images, I’ve found it easier to quickly find what I’m looking for, particularly when navigating large databases.

ClickUp, while packed with functionalities, initially seems a little overwhelming. Yes, it does offer customizable dashboards, but when compared to the sleek design of Notion, it feels a little less sophisticated.

But let’s give credit where it’s due. ClickUp does offer a broader color palette, which can be handy when color-coding tags, labels, and dropdowns. In contrast, Notion’s color options are a bit more limited. Tiny details like these can make all the difference when you’re trying to stay organized and on top of your projects.

However, regarding overall aesthetics, my vote swings in favor of Notion.

ClickUp Has Better Built-In Automations

When it comes to automations, in my experience, ClickUp holds the upper hand over Notion. This difference has proven to be significant in managing my projects more efficiently.

ClickUp shines in its automation features. I’ve found automating repetitive tasks such as assigning tasks, moving statuses, and even posting comments incredibly user-friendly.

ClickUp’s automation library, filled with more than 50 templates that you can apply to Spaces, Folders, and Lists, has been highly flexible and a time-saver. It’s the kind of advanced tool that can save you countless hours in the long run, allowing you to focus on more critical aspects of your project.

On the other hand, Notion has its strengths but lags behind when it comes to built-in automations. Technically, you can set up automations using Notion’s API, but it requires a good deal of work, finding the right formulas, and a bit of grit. To me, this process was far more cumbersome compared to the seamless automation setup in ClickUp.

Notion’s automation shortcomings mean you’d likely need to rely on a third-party tool like Zapier or IFTTT, adding an extra step (and possibly cost) to your workflow.

If built-in, advanced automation features are a high priority in your choice between Notion vs ClickUp, the latter would be the ideal choice. This is especially true if you’re keen on streamlining your work management and automating tasks to maximize productivity.

I’ve found ClickUp to offer a more comprehensive suite of features when it comes to task management.

Notion certainly has its merits, particularly when it comes to basic task management. For lightweight needs, it can adequately replace apps like Asana, Trello, or Evernote, and its Kanban board feature is undeniably valuable. I appreciate being able to link directly to other pages, view tasks from multiple perspectives, including list, table, calendar, and timeline views, and assign tasks to team members along with notes, due dates, tags, and priority levels. However, Notion falls short in areas like recurring tasks and lacks workflow automation.

ClickUp, on the other hand, was explicitly designed with task organization in mind. It has many tools for task management that surpass those offered by Notion. Tasks in ClickUp can have assignees, statuses, priority designations, comments, and attachments. You can break large tasks into smaller subtasks, set dependencies between tasks, and even automate repetitive actions.

But where ClickUp really outshines Notion is in its advanced tools for task management. Its built-in time tracking lets you monitor how long each task takes. It allows for setting up recurring tasks without the complex automations that Notion requires.
